The Languaging Lab offers professional translation service. We will appoint our qualified translator, who is also Royal Chartered Linguist of the Chartered Institute of Linguists (CIOL), to seal and sign on an official letter to attest that the translation of an official documentation is true, complete, and accurate, and is undertaken by a practising translator who complies with CIOL Code of Professional Conduct.

In addition, according to the UK Government’s official guidance:

“Where a document written in a foreign language is submitted in support of [an] application it should be submitted with an English translation attached. It should be provided by a translator registered with an official organisation such as the [Chartered] Institute of Linguists”

Translations certified by The Languaging Lab are recognised and accepted by the Home Office, the HM Passport Office, National Health Service (NHS), and most public authorities, companies, banks, and schools and universities in the UK; as well as most government bodies, organisations, and universities in countries such as Canada and New Zealand.

Some banks in the UK only accept certified translations issued by a UK-based translator / translation agency. Are there any specific requirements?

Certification: Each page of the translation as well as the certificate of translation will be stamped and/or initialled by our Royal Chartered Linguist, to prevent any tampering or misuse, and to certify their work and confirm their membership of the CIOL.

Sworn Declaration: [Service Suspended] Our company representative appears personally at one of the Enquiry Centres of the Hong Kong Home Affairs Department where they present the certified translation and declare that it is true and accurate in front of a Commissioner for Oaths. You will need to pay an additional HKD2,000 for this service.

Please note that it is your obligation to check the special requirements (if any) with the relevant government agencies, institutions, and/or organisations to which you are to send the certified translation, as they may have specific rules and requirements that you and/or our translator are required to follow.


What next?

Step 1: Submission. Email your scanned or photographed documents to certify@thelanguaginglab.com or by WhatsApp and let us know i) your postal address; ii) your preferred delivery method; and iii) specific requirements (if any) to which we have to pay attention.

The certified translation will be sent to the you normally by ordinary mail or air mail. In a more secure way, you may request to have the document posted with tracking service included at an additional fee.

Step 2: Quotation. We will email or WhatsApp you a quote, which contains information such as the cost and turnaround time. You might need to check your Spam folder.

Step 3: Confirmation and Payment. Once you are happy and want to proceed with the translation process, fill the Booking Confirmation Form in, pay the invoice by bank transfer / FPS / cash deposit / cheque deposit, and let us know once you have completed the payment.

For applicants residing outside Hong Kong, they could ask an authorised person in Hong Kong to pay the fee on their behalf.

Step 4: Translation and Review. Once we have got the green light, we will send your project to our qualified translator (also a Royal Chartered Linguist), who will complete the translation with care and diligence within 1–2 days (for short documents). After that, we will email or WhatsApp it to you for approval, where you will have the opportunity to cross-check the key components, such as names, dates, and ID numbers, and confirm that you are happy with everything (which we are sure you will be).

Step 5: Certification and Delivery. We will print out and certify the translation and email or WhatsApp you a digital copy (PDF) before posting the certified translation to you.


Local delivery information (Hong Kong)

Surface Mail. Once dispatched, Hongkong Post delivery usually takes 2–3 working days. Please note, our courier partner do not offer specific time slots, so your order will be delivered anytime between 10 am and 4 pm.

EC-Get. Items are delivered within 2 working days after day of posting to designated collection point. You can pick up the EC-Get item at any post office or iPostal Station instead of waiting for delivery at home or workplace. When the item arrives the designated collection point, the Hongkong Post system will issue an SMS notification to you for mail collection. An extra EC-Get fee must be prepaid in addition to regular postage fee.

Registered Letter. Once dispatched, Hongkong Post delivery usually takes 1–2 working days. The posting process is recorded and signature of receipt is required upon delivery. An extra registration fee must be prepaid in addition to regular postage fee.


International delivery information (other destinations)

Air Mail / Registered Air Mail. Standard delivery takes 10 to 11 working days. An extra air mail or registration fee must be prepaid in addition to regular postage fee.

Speedpost. With a global reach of over 210 destinations, delivery can be as fast as the next working day after posting to major international cities (for reference only). 24-hour track and trace service available from Hongkong Post’s website or hotline. An extra Speedpost fee must be prepaid in addition to regular postage fee.
